Booking Policy

Bookings can be made by contacting the clinic via, the website booking form, email, telephone or social media sites. New patients and patents not seen in clinic for 6 months, require a face-to-face consultation. Treatments will not be provided on the day of consultation to allow for a cooling off period (see consultation process).

Karen Hunter Aesthetics reserves the right to refuse treatment if we believe a patient is medically unfit for treatment or that, in their professional opinion, the treatment is not going to have the results desired. There is no age limit for some of the treatments offered, however, parental supervision is required if you are younger than 18. All patients must be over 25 years for any injectable treatments, unless there is a clear indication that it will improve your psychological well-being.

We are required to take pre and post treatment photographs for your clinical records. These images are kept private and are for record keeping purposes only (in line with legislation). All information gathered will be treated as confidential and stored in line with Data Protection legislation. Your information will not be shared with third parties without written permissions and you will not receive unsolicited information from us. You may choose to remove yourself from our mailing list at any time (see Privacy Policy). All patients are required to provide contact details; including address, telephone and email in order to secure an appointment.

A fee of 50% of treatment cost will be taken at the time of booking. All payments must be made in full at the clinic on the day of treatment. The clinic accepts cash, bank transfers, or major debit and credit cards.

Clinic Rules

Karen Hunter Aesthetics supports the governments ‘Zero Tolerance’ campaign, which states that staff have the right to care for others without the fear of violence, harassment or abuse from patients or their relatives. Our staff aim to be polite, sensitive and helpful to all patients’ circumstances and individual needs. This means that aggressive or violent behaviour towards our staff or any member of the public within our Practice premises will not be tolerated under any circumstances. Anyone giving verbal abuse to members of staff, either in person, over the telephone or via online methods will be contacted by the Practice Manager advising that this behaviour will not be tolerated. Any future violation of this policy will result in the removal from the Practice patient list. There will be no appeal process, pending treatments at that point will be cancelled and treatment plans voided.

Child Supervision Policy

Our clinic is a medical environment; therefore, children will not be allowed into the treatment room for health and safety reasons. However, if it cannot be avoided, please bring another responsible adult along with you to look after any children aged 12 or under, in the reception area, we regret that our staff members are unable to supervise children during treatments for both health and safety and insurance purposes. We apologise for any inconvenience caused.

Consultation Process

Prior to any treatments it is essential that you have a consultation to discuss your options, pricing and length of treatment courses. To give consent to an aesthetic treatment you must fully understand the expected outcomes and associated risks. The consultation is a fundamental process designed to listen to and identify any concerns you may have. It allows a confidential in-depth discussion on what you may perceive is an issue, followed by what realistic expectations and aspirations can be met, allowing you to make a fully informed decision on the available treatment options. In order to deliver a bespoke treatment plan most appropriate to your needs a review of your medical history, skincare regime, medications and allergies will be undertaken. It is important that you provide all medical history asked of you. Karen Hunter Aesthetics will not be held liable for any damage caused because of withheld information or failure to follow instructions from clinical staff.

Throughout the consultation you can expect to be treated in a professional caring manner and provided with evidence based expert advice. As part of the process a cooling off period is recommended to ensure information has been reflected upon allowing you time to consider all the options for achieving natural looking results, following this period you will be contacted to ensure you are happy with the information provided, giving you an opportunity to ask any further questions. You will be advised of the full costs of your proposed treatment plan, including future maintenance treatments/products, before any treatment is undertaken.

Cancellation Policy

At Karen Hunter Aesthetics we respect and value your time; in return we expect the same consideration, therefore we operate a 48-hour cancellation policy. If you wish to reschedule your appointment 48 hours prior, then your 50% deposit will be kept and carried forward to your new appointment. If, however, you fail to attend or cancel later than 48 hours, the booking fee is non-refundable and non-transferrable. If on the day, you attend your appointment and decide not to go ahead with treatment, then your booking fee will be refunded. We will try our best to accommodate late arrivals, however, there may be times when a late arrival will result in your appointment being rescheduled. Of course, life is not that simple, and, in some instances, exceptions will be made, however Karen Hunter Aesthetics reserves the right to implement the policy.

Please do not attend the clinic if you are unwell. Please note, many of the treatments we offer are contraindicated with certain viral and bacterial infections, such as cold sores. If you are unsure of your symptoms, please contact the clinic for further assistance.

There may be occasional times when we must cancel the clinic and appointments at very short notice. We will always try our best to offer you an alternative appointment, if however, this is not suitable you will be refunded any outstanding deposits. Please note that refunds will not be given for any other expenses you may incur.

Refunds

Karen Hunter Aesthetics aims to provide an excellent service, we only use evidence-based products, however, we cannot guarantee your results and cannot offer refunds if the results fail to meet your expectations. As explained in the consultation, patients will be expected to pay for additional treatment at the usual price if the original treatment has not given the desired look. Treatments provided by Karen Hunter Aesthetics are cosmetic treatments and as such, results are not guaranteed, this will be discussed thoroughly at your consultation. The treatment of side effects and complications is included in the cost of the procedure; therefore, no refunds can issued due to any of the above occurring. Products bought in clinic are non-refundable unless they are faulty. Faulty products will need to be returned to Karen Hunter Aesthetics for assessment before a refund can be processed. However, if you change your mind about your product purchase within 14 days, we are happy to exchange it for another product. This policy does not apply to products which have been used or opened. All booking fees will be refunded if cancellation of your appointment is within the cancellation policy time frame.

Complaints

Karen Hunter Aesthetics we pride ourselves in delivering outstanding professional customer service. We aim to treat patients to the highest standard of care, compassion and respect. However, there may be times when you have received a service that does not meet the high standards that we aim to deliver. We will try to resolve any complaints as quickly as possible. It is best to make your complaint a soon after treatment as possible. This way memories will be fresher, and it will be easier to investigate things. You should make your complaint within 12 months after treatment. Complaints received in writing will be acknowledged by return email or letter within 21 days of receipt. In the event that you are dissatisfied with your treatment you must attend a review appointment to discuss this with one of our Nurses in person. KH Aesthetics is part of the Cosmetic Redress Scheme.

Feedback

Feedback is used to review and improve our quality of service. Any feedback is appreciated, both positive and negative. Feedback may be submitted either verbally, in writing, email, clinic website or social media.
